We take security and GDPR seriously
All data in the Meebook platform is hosted in Denmark and Germany.
Meebook is a secure platform for teachers, pupils and parents to use. We do not sell any data stored in Meebook to third parties, and we do not share information in our systems with third parties. We only make exceptions if the data controller (our customer) asks us to do so, or if we are required to do so under applicable law.
Meebook does not take ownership of any customer data in the learning platform. We only store personal data for as long as the data-controlling customer asks us to retain it.
We comply with EU regulations and, as a user, you can be confident that we comply with the provisions of the GDPR. All procedures required under the data protection regulation are in place.
We use independent auditors to review our data protection solutions and have obtained the following assurance reports concerning data security:
ISAE 3000 Type II report documenting that operations and IT conditions comply with legal requirements and good IT practice.
Our hosting provider delivers an ISAE 3402 Type II report.
Both assurance reports are prepared in cooperation with an external auditor.
There are two types of data:
Data stored in the Meebook LMS for which the municipality is the data controller, and
Data we use if you contact us, subscribe to a newsletter, etc.

Erasure
You have the right to request access to, rectification or erasure of your personal data in the Meebook platform. If you are a pupil, teacher or parent, you must contact your municipality or school.
Technical and organisational security measures
Processing of personal data takes place in accordance with our internal guidelines and policies and is audited under ISAE 3000 for Meebook and ISAE 3402 for hosting.
Updating, etc.
This record must be kept up to date and at all times reflect the actual circumstances at Meebook. The record must always be stored electronically.
Questions regarding the record may be addressed to Søren Adolph - sa@meebook.com, who has internal responsibility for ensuring that the record is kept up to date and reflects the actual circumstances.
The record must be made available to the Danish Data Protection Agency upon request. In the event of an inspection or other contact with the Data Protection Agency where this record is relevant, Søren Adolph, must be contacted and involved in the process.
Processing of data when creating a test user
When you request a test user for our platform, we process your information in order to create access. The following data is collected and used:
Full name
E-mail address
School/Institution
Purpose of the processing
We use your e-mail address and other information to create a temporary test user that gives you access to the platform for a limited trial period of 14 days.
Storage and deletion of test user data
Access to the test user will automatically expire at the end of the trial period. All information collected in connection with the creation of the test user will be deleted no later than 90 days after the end of the trial period, unless you choose to continue as a full user of the platform.
If you wish to have your information deleted before this deadline, you can send an e-mail to mail@meebook.com at any time.
Legal basis for processing test user data
The processing of your information is based on your consent, which you give when you request a test user.
You have the right to access, rectify or erase your information for as long as we store it. You can also withdraw your consent at any time by contacting us at mail@meebook.com.

Joint controllership
Meebook and each social media provider are joint data controllers for the processing of personal data collected in connection with your visit to Meebook’s profile or page on the individual social media platform. Meebook complies with the Danish Data Protection Agency’s guidelines on joint controllership and seeks, to the greatest possible extent, to ensure that you receive appropriate information about the processing of your personal data when you visit Meebook’s profiles or pages on social media.
Collection of personal data
When you visit or interact with our profiles on social media, Meebook and the provider of the relevant social media platform may collect, process and store the following types of personal data about you:
Information available on your profile, including your name, age, telephone number, gender, marital status, workplace, interests, employment history, friends, picture and your city.
Whether you “like” or have used other reactions on our profile or page.
Comments you leave on our posts or via live videos.
That you have visited our profile.
Information about participation in competitions.
Purposes of the processing
Meebook processes your personal data for the following purposes:
Sharing information about updates in Meebook.
Sharing information about webinars or courses.
Communicating with you if you comment on a post, leave a review or send us a message.
Marketing in general.
Selecting you as a winner of a competition.
Providing you with advice and answering your questions either directly via the profile or via e-mail.
Asking for your permission to use your comment, picture or other information that you leave.
Improving our profiles and pages on social media.
Statistics and analysis.
Tagging you when permitted under the Danish Marketing Practices Act.
The social media providers primarily process your personal data for the following purposes:
Improving their advertising systems.
Providing Meebook with statistics that the social media providers prepare, among other things, based on your visit to our profiles and pages.
Advertising and tailoring activities on the page.

Processing of your personal data is based on the following:
Legitimate interests
Meebook bases the processing of your personal data on our legitimate interest in being able to communicate with you on our social media profiles and our legitimate interest in selecting you as a competition winner (GDPR Art. 6(1)(f)).
The social media providers base the processing of your personal data on their legitimate interests, including their interest in improving their advertising systems and providing statistics to Meebook that they prepare on the basis of your visit to Meebook’s profile or page. They also have a legitimate interest in providing an innovative, personalised, secure and profitable service (GDPR Art. 6(1)(f)).
Consent
The social media providers process certain of your personal data in accordance with your consent, which you can withdraw at any time via your privacy settings on the relevant social media platform (GDPR Art. 6(1)(a)).
Recipients
The social media providers may share your personal data with the following categories of recipients, among others:
Other entities within the group to which the provider belongs.
External partners providing analytics and research services.
Advertisers.
Other individuals who visit our profile or page on the social media platform (to the extent your information is publicly available).
Researchers and academics.

The social media providers may transfer your personal data to recipients outside the EU/EEA in accordance with applicable data protection law. You can read more in each provider’s privacy policy.
As a general rule, Meebook does not share your personal data with third parties without your prior consent.
Your rights
Under data protection law, you have a number of rights:
Right of access – You are entitled at any time to obtain access to the information that Meebook and the social media provider process about you, subject to certain statutory exceptions.
Right to object – You have the right to object to the collection and further processing of your personal data, including processing based on legitimate interests.
Right to rectification and erasure – You have the right to have your personal data rectified, erased or blocked. You can always delete your publicly available comments yourself and remove content about you via your profile on the social media platform.
Right to restriction of processing – In certain cases, you have the right to restrict the processing of your personal data.
Right to data portability – You have the right to receive information about yourself and, in certain cases, to have these data transmitted to another data controller (data portability).
Newsletter
Purpose: Sending news and professional content about Meebook.
Data types: E-mail address.
Legal basis: Consent, cf. GDPR Art. 6(1)(a). You choose to subscribe yourself and can withdraw your consent at any time via the unsubscribe link at the bottom of each newsletter. We respect unsubscribe requests immediately and stop all sending to that address.
Source: Information is received directly from you via our subscription form.
Storage: We store your information until you unsubscribe.
Recipients/processors: We use Squarespace as a data processor for managing subscriptions and sending newsletters.
Data location and security: E-mail data is stored in Tier III data centres in the USA. Squarespace uses HTTPS and server-side security measures. You can read more in Squarespace’s documentation.
Data sharing: No data is shared with other companies and the data is used solely for the above purpose.
Rights: You have the right to access, rectification, erasure, restriction, data portability and to withdraw your consent at any time.
Support
Purpose: Providing support when you contact us by phone, e-mail or online chat.
Data types: Name, e-mail and information about the support case.
Source: Information is received directly from you when you contact us.
Storage: We store your information for 90 days after the last inquiry.
Data location and security: E-mail data is stored in Tier III data centres in the USA. Squarespace uses HTTPS and server-side security measures.
Data sharing: No data is shared with other companies and the data is used solely for the above purpose.

Logging
Purpose: The logging guidelines are intended to ensure that:
Use of Meebook and data is recorded for reasons of traceability.
System operations are logged for reasons of operational stability.
Logging helps ensure appropriate and secure use of Meebook. Among other things, accidental errors can be detected, employees are protected against unfounded suspicion, irregularities in system and data use are recorded, and clear responsibility is defined.
The level of logging must generally be defined based on an assessment of the individual actions and the importance of the data in Meebook. The assessment must also consider the risk of inappropriate use of data. Under data protection law, all actions relating to confidential or sensitive personal data must be logged. The extent of logging must, however, be balanced against system reliability, importance and performance.
As far as possible, logging material must include information about:
Who performed a given action (user ID).
When the action was performed (timestamp).
What was done (read or write operation in a path and/or file and/or record).
Which person the action concerned.
Storage: We store log data for 6 months.
